To help both tutors and admin staff become familiar and troubleshoot some of our systems, the guide below is being created to help you manage your tutor accounts. This will be regularly updated to reflect any questions and queries that you have about using your account.

As some training below is senstive in terms of data or information, please ensure that you have logged into your account (on the right) to see all sections.

Accessing Your Account

Log into your account though this link (or by clicking the “Student Portal” link at the top right of the website): https://worthing.teachallaboutit.uk/student-portal/

This will take you to your dashboard (where you add attendance / feedback for your students for that day)

Attendance & Feedback

One of the biggest benefits for tutors of the student portal is a single place to access & update attendance and feedback. Attendance allows us to both invoice parents correctly and creates an automatic timesheet for tutors which is downloaded and used for payroll or for self-employed tutors in place of / alongside an invoice.

The feedback feature also allows you to email or send a text to the student & parents directly from the system without exposing your own contact details, but also ensures that you have the most up to date contact details at any one time.

TutorBird Attendance

Once logged in, your dashboard will show you your list of students for that day with an attendance link. For ease of use, there is the option to set the attendance of all students using the dropdown at the bottom of the page.

However, selecting the individual attendance allows you to also add lesson feedback and email this to the parent / student after each lesson. The system has been set up to show your last feedback message as a reminder of what was covered in each lesson.

As with all systems, anything that is recorded, whether viewable or private should always be something that you would want a parent or student to be able to see.

Blocking Out Time / Adding Holiday (Vacation)

Blocking time out is added to your TutorBird Calendar screen. By adding vacation, future lesson bookings will be blocked from the calendar (if lessons are already booked, these can be set to “Tutor Absent” in advance”)

In your calendar, naviagate to the day that you wish to block out. click on the calendar and select “Non Tutoring Event”.

Next, complete the pop up to identify the holiday/time off that you are wishing to add (for the whole day, check the “all day” box. Once you click “OK”, your time will be blocked out.

Adding Holiday / Extra Availability

Where student bookings are not added as part of a regular lesson booking through us, tutors have the option to manage their available times directly through the Student Portal system. This means that you, as a tutor, can highlight unavailable times or additional lesson slots that you want to make available to students.

Click on the Calendar Menu on the left to view your current lessons in the Calendar View. This will also show any events that are open to the whole team. For administrators, this will also show all tutor’s lessons in a colour coded format.

Calendars are set to be week to view, although you can change this in your account settings to whichever view works best for you. Navigate to the week that you wish to add holiday availability (the TAABI Easter break is set to run from Sunday 7th April –  Sunday 21st April inclusive (if you have Saturday classes on 3rd April, but wish to adjust them due to the Easter weekend please let me know).

Click on the time /day that you wish to add an available space & select “New Default Lesson”.

In the pop up, select “open lesson slot”, Online as the location, & set the lesson to Public – this will then show as an available lesson for your students to select. Alternatively, if you have already agreed to run Easter lessons with a student, please select their name from the Student dropdown list in place of “open lesson slot”.

If you wish to adjust the settings of the lesson once set, click on the calendar entry & select edit.

Contacting Students / Parents

Once a student has been allocated to you as a tutor, you will have the facility to send an email direct to the student or parent. This is particularly useful as it will also pop up as a notification in their student portal and will remain in their message history.

TutorBird Student Email

From the Students menu on the left hand side, you will be able to see a list of students that are assigned to you as a tutor (admin users will have the facility to see all students).

Select the student(s) you wish to contact by clicking the checkbox next to their name, or the checkbox on the red bar at the top to select all. Then from the Messaging icon, select who you want your email to go to.

At present, we are developing the SMS section and this will be available shortly.

Managing Our Online Courses

Being a group leader for our online courses just got even easier! We now have a full set of tools to help you to see your student’s progress, keep in contact, and provide marking & feedback.

Viewing Student Data

When you first log into your account, your home page will include a link to open the “Student Management” page. Clicking this will open a page specific to your user account type:

Group Leaders (Teachers & Tutors)

Teachers / tutors will see just the data for their classes. at the top of the page, you will see the class names that you are assigned to alongside student numbers. The classrooms report will give an overview of the progress of your whole class.

Clicking on “Manage Students” will take you to a more detailed view of each student within the class.

Student Information

Within the Manage Students area, there are several options for contacting and managing students. Emailing a whole class can be achieved through a single button – this email will be sent to students through a noreply address, so where a response is required, please add an email signature!

Previously, students who had forgotten passwords were required to reset these themselves. This new feature allows a teacher / tutor to manually update a password or edit student details on the system. Where a tutor is updating student contact details for a student attending tuition directly with TeachAllAboutIt, please confirm this update with hello@teachallaboutit.uk to allow us to update the student portal.

Student Progress Reporting

A more detailed report can be seen underneath the contact table. This section allows you to filter by student & see login times & dates, including the most recent.

The student reporting also includes a list of all lessons within their course which can be expanded to see assessment & quiz results.

  • To see a more detailed breakdown of a quiz, click on ‘statstics‘.
  • To see a student’s uploaded assignment, click on the assignment name.
  • To see the marking feedback, click on the ‘comments‘ icon next to the assignment name.
  • To mark an essay, open the statistics page and click ‘edit’ under the answer.

Course Managers

Course managers are able to set up teachers / tutors, and additional classes. This is in addition to all of the features above. This allows course managers to create groups and manage all students centrally.
